Modifying view settings on the Bookings page for “D2L-to-Canvas Migration VIP Session”

This tutorial will show you how to alter the columns in your Booking area in order to manage workshop attendance, or print an attendance sheet.

Managing workshop attendance

This tutorial will show you how to mark workshop participants as “present” (accept) or “absent” (reject).

Once you’ve marked the attendance, you’ll find the status of registrants changed to:

  1. [Approved] for those present at the workshop
  2. [Rejected] for those absent from the workshop

Managing workshop registrations and importing participants into a D2L course site

This tutorial will show you how to manage registrations for the LTC Workshop site. You will learn to:

  1. Login and view Registrations (called Bookings).
  2. Export a CSV file containing the enrollments for your workshop.
  3. Edit the CSV file to format it for D2L.
  4. Upload the enrollment file to your D2L Workshop site.

  1. By default, all registrations (including cancellations) will be listed. To filter out cancelled registrations, pull-down the menu
  2. Select [Needs Attention].
  3. Click [Filter].

  1. In the newly created column, enter “instructor” in the first cell. Hover over the bottom right side of the cell until you see a “+” symbol. Hold and drag down to fill the cells for each enrollee.

Note: in rare occasions, a user may not have entered their UWM ePanther ID correctly (although systems are in place to ensure that “@uwm.edu” was not included during registration). If this is the case, registrants will need to be added to D2L manually, or given a generic user identity during the workshop.

Modifying the text sent to participants in the pending booking email

This information must be added in order for the correct name to appear on the event page and for the event to appear within the list of “Upcoming Events” offered by the Presenter.

  1. Under [Event Categories], click the box in front of the name of the workshop.

This box must be checked in order for the workshop to appear correctly within [Workshops by Type] and listed under “Upcoming Events” for that workshop type.

To add the location for the workshop, click into the [Location Name] area and begin typing the building in which the workshop will be held.
A list of loctions and room numbers will appear. Select the correct loaction from the list.

IMPORTANT – you must select a location. If you type the entire building name and a location has not appeared, please refer to another workshop held at that location to find the correct title. If you do not select a location that is already in the system no location will appear on the event page. For a list of workshop locations, see: https://db.tt/FaYeyOWQ

  2. Click into the [At most] area and, again, enter the maximum number of registratins allowed for this workshop.

OPTIONAL – Changing the default registration form (for CIPD Workshops)

If you are teaching a workshop that is not technology related (CIPD), pull down the menu for [Selected Booking Form] and select [Pedegogy].

OPTIONAL – Changing the workshop evaluation link in the default attendance email (for CIPD Workshops)

The system sends out automated emails when the workshop presenter takes attendance.

If the attendee is marked absent (with the [Reject] button) the following email example is sent: https://db.tt/vZ65BzpV

If the attendee is marked present (with the [Approve] button) the following email example is sent: https://db.tt/y6C9eJ90 This email contains a link to the standard LTC Workshop Evaluation.

  1. If you want to change the email that is sent to registrants who attend the workshop, pull down the [Confirmed booking email] and select [Enable].

OPTIONAL Step #2 – Changing the workshop evaluation link in the default attendance email (for CIPD Workshops)

Once enabled, you can change the link to the workshop evaluation, or any other parts of the email that is sent to registrants who attend the workshop.

  1. When the event form is completed correclty, click the [Publish] button to make the workshop active on the site.

Registering a user without an ePanther ID

If a new instructor without an ePanther ID wishes to register for a workshop, the WORKSHOP PRESENTER may register for this person. If you take a request, please forward the user’s information to the Workshop Presenter, including:

  • the workshop name,
  • workshop date,
  • workshop time,
  • user’s email address,
  • user’s appointment type
  • user’s computer platform preference
  • and if they can bring a laptop to the workshop

To register for a user without an ePanther ID, go to the workshop event.
At the bottom of the page, click on [Login with UWM 1Login]. If you do not see this link, make sure you are logged out as an administrator.

  3. Add guest user’s name and email address in [Additional information].
  4. Click [Register].

  1. Change the ePanther ID to a fake “workshop.guest” user.
  2. Click [Submit Changes].

 

The fake user will be added to the D2L course for the workshop if you export the CSV and import it into D2L. See these instructions: https://db.tt/YfrnYxPS

There are 5 fake workshop guest users in the system, with username and password (being the same) as follows:

  • workshop.guest1
  • workshop.guest2
  • workshop.guest3
  • workshop.guest4
  • workshop.guest5

At the time of the workshop, please have the guest user log into D2L with the “workshop.guest” user you entered in Step #7.

IMPORTANT FOLLOWUP

All automated emails, including reminders and followup emails, will come to the Workshop Presenter’s email account. Be sure to forward these to the guest using the guest’s email address provided.

Create a new event based on a previously offered workshop

  1. To create an event based on a previously offered workshop, click [Events].

  1. From the list of events offered, identify the workshop you’d like to create and select [Duplicate].

You will be able to identify the event you just duplicated by looking for the [-Draft] text at the end of the title.

  1. Click [Edit].

All the information in the prior workshop will be carried over. Therefore, you’ll need to change the date and time to match the new workshop.

  1. To change the date, click the text box next to [From] under the [When] box. Select the new date from the picker. The [to] date will auto fill.

  1. To change the time, click the text box next to [Event starts at] and select the correct time. Repeat this proceedure for the end time.

  1. When you have finished editing your workshop, click [Publish].

Changing your password in WordPress

Once you’ve logged in to WordPress, click on [Users] and then [Your Profile].

On the bottom of the page, there’s a form to change your password. Fill in the form with your preferred password (I recommend something strong, but easy to remember, like your ePanther password). Scroll to the bottom of the page and click “Update Profile.”
